When you book a discovery session via Calendly, Calendly may collect additional scheduling information in accordance with their own privacy policy. When you make a payment via our Stripe payment link, your payment information is collected and processed directly by Stripe — we do not see or store your full card details. When you register for an account with us, we collect your name, email address, and business details.
Information collected automatically: We use Google Analytics to understand how visitors use our website. This may collect your IP address, browser type, device type, pages visited, time spent on pages, and referring URLs. This data is collected using cookies and similar technologies. Google Analytics processes this data in accordance with Google's Privacy Policy.
Service data: To deliver our services, we store your service configuration data, including knowledge base content, voice settings, and integration setup. We store call metadata such as timestamps, duration, and status for calls processed through our services. Call recordings and transcripts may be stored depending on your service arrangement. Integration credentials you provide, such as API keys for third-party services, are stored encrypted.

As part of providing hosting, content delivery, and security services, including DDoS protection and web application firewall, Cloudflare automatically processes standard web traffic data such as IP addresses, HTTP request headers, browser type, device information, and server access logs. This processing is necessary for the delivery and security of our services and is handled by Cloudflare in accordance with their Privacy Policy.
We also use Cloudflare Browser Insights, a performance monitoring tool that collects anonymised metrics such as page load times and connection information to help us identify and fix performance issues. Browser Insights does not use cookies and does not track individual users.
Third-Party Services
We use the following third-party services that may process your data:

- Cloudflare — hosting, CDN, security, including DDoS protection and web application firewall, and performance monitoring via Browser Insights. Cloudflare processes standard web traffic data including IP addresses and server access logs.

- SendGrid — email delivery for contact form submissions, account-related emails, and service communications. Your name, email address, and message content are transmitted through SendGrid's infrastructure. SendGrid processes this data in accordance with their Privacy Policy.
- Stripe — payment processing. Stripe collects your payment details directly. We do not store your full payment information. Stripe processes your data in accordance with their Privacy Policy.
- ElevenLabs — AI voice processing. Voice conversation audio, knowledge base content, and call recordings, when enabled, are processed by ElevenLabs for speech-to-text, response generation, and text-to-speech. ElevenLabs processes this data in accordance with their Privacy Policy.
- Twilio — telephony services for phone number provisioning, voice calls, and SMS messaging. Call metadata and message content are processed by Twilio in accordance with their Privacy Policy.
We may also connect additional third-party services that you authorise, such as calendar services, CRM systems, and alternative email or SMS providers. When connected, relevant data is transmitted to those providers. These services only process your data with your authorisation, and each has its own privacy policy.
Cross-Border Data Transfers
Some of the third-party services we use are based outside Australia, primarily in the United States. This means your personal information may be transferred to, stored, and processed in countries other than Australia. The services involved include:

Integration credentials you provide are stored encrypted. Access to your data requires authenticated user accounts.
Data Retention
We retain contact form submissions and article questions for as long as necessary to respond to your enquiry and maintain our business relationship. Account data and service configuration data are retained for the duration of your service. Call logs and metadata are retained according to your service needs. Call recordings and transcripts are stored by ElevenLabs according to your service arrangement. Payment transaction records are retained as required by Australian tax law.
